Sponsorship Opportunities and Pricing Plan

1) Exhibit Hall Booth Space:

  • 25 booth spaces are available - located in the Exhibit Hall in front of the Main Auditorium
  • Delegates must go through the exhibit hall to enter all other meeting rooms in the Congress Center
  • Size: Six square meter each
  • Pricing Plan: 7000 Euros + VAT

2) Sponsoring the Second Announcement (Full program):

  • 65,000 [32-page] brochures with the full program will be mailed early March/April 2003.
  • 30,000 in the USA, and 35,000 in Europe, Canada, Australia, Europe, the Middle East
  • 15,000 of the ones to be distributed in Europe will be in Spanish and sent to 15,000 Spanish Emergency Physicians (ACINDES list) and Catalonian SCMFIC and SEMERGEN members.
  • Ads can be up to 4-colors and must be provided camera-ready.
  • Pricing Options - Spanish Edition (15,000 mailings):
    • Sole Sponsor Option (Back and Back of Front): 15,000 Euros + VAT
    • Back Page Full-page Ad: 10,000 Euros + VAT

    • Sole Sponsor Option (Back and Back of Front): 20,000 Euros + VAT

4) Sponsoring the Syllabus (1,000-1,500) for the Delegates:

  • All Congress sponsors will be listed in the Syllabus in a designated Sponsorship Credit section - with a listing of the specifics (type and level of their contribution.
  • However, Special Acknowledgment and Credit will be included to prominently recognize the Sponsors of the Syllabus.
  • Pricing Options:
    • Sole Sponsor (Back-Page Full-page Ad):15,000 Euros + VAT
    • Back-Page Full-Page Ad: 10,000 Euros + VAT
    • Back of Front-Page: 7,500 Euros + VAT

6) Sponsoring the Gala Dinner:

  • Tuesday 16 September, 2003: 8 pm-Midnight
  • Sit-down Dinner and Wine with Formal Dance (Band)
  • Predicted Attendance: 900 Delegates
  • All delegates, except speakers, staff, and moderators would have to pre-register for this and pay for their tickets to cover some of the expenses related to this expensive event.
  • Pricing Options:
    • Sole Sponsor: 30,000 Euros + VAT
    • Sponsorship (More than one sponsor may be possibly credited for contributing to the Gala Dinner):
    • Sole Sponsor Preferred: 30,000 Euros + VAT
  • Sponsorship Options:
    • Platinum Sponsor = Sole Sponsor = 30,000 Euros + VAT
    • Golden Sponsor(s) = 20,000 Euros + VAT

7) Sponsoring the Closing Night Ceremony (Karaoke Buffet Dinner and Dance):

  • Wednesday 17 September, 2003: 8 pm-2 am
  • Buffet Dinner and Wine with Karaoke and Dance
  • Predicted Attendance: 500 Delegates (maximum attendance will be limited to the speakers, moderators, and the first to register for the Karaoke Dinner)
  • All delegates, except speakers, staff, and moderators would have to pre-register for this and pay for their tickets to cover some of the expenses related to this expensive event.
  • Pricing Options:
    • Sole Sponsor: 30,000 Euros + VAT
    • Sponsorship (More than one sponsor may be possibly credited for contributing to the Gala Dinner):
    • Sole Sponsor Preferred: 30,000 Euros + VAT
  • Sponsorship Options:
    • Platinum Sponsor = Sole Sponsor = 30,000 Euros + VAT

8) Sponsoring the Coffee Breaks:

  • Two per day (am and pm) for 3 days
  • Predicted Attendance: 1,000-1,400 Delegates
  • Pricing Options:
    • Sponsorship for Each Day: 15,000 Euros + VAT
    • Sponsorship for ALL Coffee Breaks (All 3 days): 30,000 Euros + VAT

9) Sponsoring the Lunch Symposium:

  • One Symposium is possible for each of the 4 days.
  • First day: expect less attendance (Workshop day) (Sunday 14th)
  • Predicted Congress Attendance: 1,000-1,400 Delegates
  • Lunch cost per delegate to AAEM-EuSEM is estimated at 35 Euros + VAT per delegate per day.
  • We should seek to have them cover the Cost of the Lunch + Speakers + [Cost of Conference Center, AV, staff time, operational expenses (+ VAT) for the day (10,000 Euros)]
  • We would have to have a maximum allowed for each session and to limit attendance in each room to 250 delegates. Pre-registration should be required by congress delegates for the Lunch Symposia.
  • Pricing Options:
    • Suggested Price to Sponsor will depend on content (number of speakers), the maximum registration allowed and the lunch menu selected.
    • Price for Lunch Symposia should be on a case-by-case basis negotiated with Dr. Kazzi and Dr. Petrino.

10) Simultaneous Translation to Spanish

  • Four Tracks available (Main Auditorium + 3 other)
  • For Auditorium - For one day
  • Details: 700 Philips Infrared Receptors / 1 cabin / 1 transmitter / 1 amplifier / 2 seats for translators / 1 translation technician
  • Sponsorship for Simultaneous Translation into Spanish for each day would be acknowledged on the program, the syllabus, website, and at the beginning and end of the day in that room.
  • Price suggested: 5,000 Euros + VAT per room per day

11) Registration Bags:
